HRIM Assistant
HRIM Duties and Responsibilities:
- Process daily requests for employee ID numbers sent thru email and Lotus Notes On-Line Services for Division Offices and Plants SMG wide.
- Confirm receipt of documents received whether hard copy or scanned attachments via email.
- Inform clients of lacking data/employee details from received documents
- Special attention to new employees without SSS number yet, informed respective HR AIC, employee will not be hired yet pending submission of the vital requirement.
- Special attention to companies with specific instructions of non-payroll inclusion unless with submitted bank details, no salary to be processed via check payment.
- Daily processing of master data updates in SAP HR;
- Hiring/ Rehire Former Employee/Separate/Rehire
- Additional Personnel Data
- Change in Personal Information
- Change in Compensation Package
- Change in EE Classification
- Organizational Reassignment
- Developmental/Special Assignment
- Internal Transfer In/Internal Transfer Out – SMB sites
- CBA/SRP/Structural Adjustment – Special Cases of SRP and Implementation of Structural Adjustments for Non-Regular employees
- MIIT and Inter-Company Transfers
- Separation with & without Benefits
- Expatriation – International Assignment
- Repatriation – revert back from International Assignment
- Extension/Renewal of Contract – Temporary & Consultants
- End of Contract - Temporary & Consultants
- Implement changes as specified in the approved Table of Organization (TO).
- Update new organizational units
- Position titles based on TO and BPA submitted
- Assignment of cost centers
- Assignment of Reporting Structure
- Send out notifications to respective HR for expiring temporary employees 1 month before their End of Contract takes effect.
- Implement changes in employee profiles based on submitted forms and MEP
- Process daily requests for creation of position titles for both Division HR Clients and Plant HR of their corresponding subsidiaries.
- Implement requests for creation of new cost centers thru SMITS
- Upon creation of new cost centers from SMITS, update cost centers of affected employees, both Division Offices and Plant sites.
- Update dependents data upon request of HR for HMO purposes
- Updates Tax Exemption Unit based on submitted BIR Stamped documents.
- Assist clients at Plant level with inquiries regarding master data.
- Provide system support to Plant HR counter parts which does not require technical support.
- For SAP queries beyond access and knowledge, forward inquiries/requests to SMITS IT Group.
- Forward to SMIT IT Group, details that are not yet existing in SAP HR but needs to be created in relation to updates of employee details and company trainings.
- In rare cases but with authorization from HR Head/Manager, perform updates in lieu of Plant HR due to technical problems at Plant sites, or Plant master data user is on leave and payroll cannot proceed due to a pending master data update.
- Upon request of clients, perform data clean-up from organizational updates to employee movements.
- Generate Monthly Manpower Reports – SMG Wide
- Generate Monthly Manpower Adjustments Reports per business with corresponding employee movements
- Generate Monthly Manpower Turnover Report per business with corresponding employee movements.
